End-to-End Modernization of the GPA Management System
Before our intervention, the Groupement pour l’Apprentissage (GPA) relied on an aging internal system to manage its day-to-day operations. Over time, system performance had steadily deteriorated, leading to slowdowns, frequent disruptions, and a growing dependence on manual processes. GPA’s management faced a clear dilemma: continue maintaining an end-of-life system, or undertake a full-scale redesign to rebuild on solid, sustainable foundations.

Modernizing a Mission-Critical System Serving Hundreds of Users Without Disrupting Operations
Initiated by the Fédération patronale vaudoise, the Chambre vaudoise du commerce et de l’industrie, and the Fédération vaudoise des entrepreneurs—later joined by OrTra Santé Social Vaud, the Union syndicale vaudoise, and the Conférence des délégués à l’économie vaudoise—the GPA stands at the very heart of vocational training in the canton of Vaud.
Used daily by hundreds of users, its management system supports thousands of apprentices throughout their training journey and therefore requires a flawless, interruption-free transition.
Our full system redesign ensured complete operational continuity, while bringing renewed performance, scalability, and long-term sustainability to the entire ecosystem.
Redesigned and Simplified Workflows
As the GPA system had been originally developed more than 15 years ago, both the user experience and the way daily tasks were handled had become outdated. Our UX design experts reengineered the workflows, and our teams developed fully customized modules tailored to the real operational requirements of GPA’s staff. The result: faster information processing, increased productivity, and a significantly improved user experience.

Preventing Duplicates, Ensuring Accuracy, Accelerating Journeys
We implemented multiple safeguards across the platform to ensure healthier data management: verification codes during initial registration and re-registration, data consistency checks, duplicate detection and prevention, unique identifiers, change history tracking, and role-based access control. The result: accurate and persistent user profiles from one year to the next, seamless re-enrollment without unnecessary re-entry, and a secure, reliable data repository for the entire ecosystem.
MIGRATION
Data Migration from the Legacy System to the New One—Without Downtime
We designed a dedicated ETL script to migrate thousands of records spread across dozens of tables from the legacy system to the new platform, in the right format and in the right place. The process combined field mapping, transformation rules, integrity checks, and inconsistency/duplicate detection, with full logging and rollback capabilities. Performed within a controlled cutover window and preceded by dry runs and load testing, the migration was completed without disrupting operations—ensuring continuity, accuracy, and full traceability.
A Centralized Apprentice Database and Simplified Cross-Department Management
We unified apprentice data from the AppApp (apprentice support) and CoachApp (apprentice coaching) units to provide a single, clear, and user-friendly view. Information previously split or shared across both environments is now centralized within a common data repository, ensuring consistency and reliability. Users can instantly access a complete apprentice profile and enroll them in the appropriate program with a single click—enabling smooth, efficient, and duplication-free management.

The new system provides a global, real-time view of operations: live tracking of apprentices, groups, tutors, and advisors. Dynamic dashboards and consolidated indicators now make it possible to analyze learning paths, assess the effectiveness of support programs, and manage coaching and mentoring actions more precisely across the entire canton—for each team member.
